I'm Danny Pedraza, founder of Cadmus Lab AI LLC. I built Orderly because spreadsheets stop working at three locations, and the off-the-shelf tools were all built for restaurants first, beverage second.

Orderly is concierge-first by design. I do the onboarding myself, I'm based in Arizona, and I'm available by phone or in-person for groups that want hands-on support. Every implementation is treated like a partnership, not a transaction.

Getting started

How long does onboarding actually take?

Under two weeks for most groups. A single bar can be live in about a week; a 10+ location group with a complex catalog usually takes two to four. I build everything out in the background during the first week, so by the time you start using it, the data is proofed and waiting.

What do you need from me up front?

Any sales, inventory, or order data you can hand over — a month or two of receipts, spreadsheets, or distributor exports is plenty. We'll do one ~1-hour call up front, then I build out your locations and catalog in a day or two on my own. After your team is trained, it's effectively hands-off.

Can you import our existing data from Excel, Google Sheets, or another system?

Yes — that's the easiest way to start. Any format works: Excel, Google Sheets, distributor receipts, exports from another tool, PDFs of past orders. The more you can hand over, the better the baseline.

Will you do the data entry, or do I have to do it myself?

I do it. The concierge setup is the whole point — you hand me your data and I handle the build-out. I'll occasionally need ten minutes of your time to confirm a vendor name or a product mapping, but you're not entering rows of inventory yourself.

What if one of my distributors isn't already in Orderly?

Not a blocker. We add new distributors immediately — no waitlist for an integration. We can usually reconstruct their catalog from your past orders and receipts without even involving the rep.

Whether we're a fit

We only have one location. Is Orderly still worth it?

Depends on your current process. If you're losing a full day a week to ordering, inventory, and chasing down vendor reps, usually yes — even at one venue. If your process is already locked in and smooth, maybe not. Easiest way to find out is a 30-minute call.

We have 10+ locations. Can Orderly handle a group our size?

Yes. Orderly was built for a 15-location group with a complex CO-OP setup, a long list of distributors, and role-based permissions across beverage directors, managers, and staff. Scaling beyond that is straightforward; the bottleneck is usually training, not the software.

Does Orderly work with my POS system (Toast, Square, Lightspeed, etc.)?

Not yet via direct integration — it's the next major roadmap item, but each POS opens up plugin access on its own timeline (some do, some don't). In the meantime, Orderly ingests POS data via CSV exports, which most systems support natively.

How is this different from QuickBooks, a spreadsheet, or my POS's built-in tools?

Orderly keeps everything — ordering, inventory, sales, vendor pricing, case-break analysis — in one place, updating in real time. Instead of bouncing between three spreadsheets and a POS report, you open one screen, the math is already done, and inventory mistakes get flagged before they hit your delivery.

Day-to-day

Can my staff place orders without my approval?

Your call. By default, every location goes through an approval workflow — managers submit, you (or your beverage director) approve before the order is sent. You can control what each location is allowed to see and order down to the SKU, or turn the approval gate off entirely if you'd rather give each location autonomy.

Can each location only see their own data?

Yes. Each location sees only their own orders, inventory, and sales by default. The beverage director or director of operations role gets the 30,000-foot view across the group with consolidated reports. Isolation is enforced at the database level — it's not just a UI filter.

What kind of support do you offer if something breaks off-hours?

All inquiries get a response by 8 AM the next business day at the latest, with most answered same-day during normal hours (8 AM-5 PM Arizona time). Off-hours issues go to an urgent queue and get a look within 24 hours regardless of day. This is a solo operation right now, but the system is hardened, backed up daily, and the rare issue usually gets corrected within an hour.

How does Orderly actually prevent ordering mistakes?

Orderly uses your week-over-week data to learn what's normal for each location. If something looks off — you sold 10 cases of bourbon last week and the inventory entry says one this week — it flags before the order goes out. Even one month of data is usually enough to catch the obvious mistakes.

Data & security

Is my data secure? Can other bar groups see what I'm buying?

Yes. Built to OWASP and SOC 2 standards from day one — no SOC 2 certification yet, but the controls are in place: row-level security, JWT auth, two-factor for elevated roles, encrypted daily backups, full audit log. Other bar groups can't see your data — isolation is enforced at the database, not just the UI.

What happens to my data if I cancel?

Your data is yours. For 30 days after you cancel, you keep read-only access to pull final reports and export your inventory and order history. After that, operational data is permanently deleted from active systems. Full details are in our Privacy Policy.
